The Gastroenterology Division is deeply and completely committed to the missions of academic medicine. We provide the highest quality patient care for a wide spectrum of gastrointestinal and liver diseases. The faculty in our five teaching hospitals possess both depth and expertise in a variety of disorders, including AIDS, inflammatory bowel diseases, liver transplantation, bone marrow transplantation, and cancer of the gastrointestinal tract. Our many innovative and pioneering clinical research programs allow our patients to access highly promising and exciting treatment protocols.

The Division of Gastroenterology has an outstanding opportunity for a Program Coordinator . The Ga! stroenterology Training Program Coordinator is responsible for! assisting the Training Program Administrator in the day-to-day administration of the Division of Gastroenterology (GI) training programs, to include Gastroenterology and Transplant Hepatology ACGME Fellowship programs, which are subspecialties in the University of Washington Department of Medicine. This position will have extensive communication with residents, medical students, research fellows and visiting scholars and will coordinate, schedule and monitor program activities to determine consistency with program goals.

The Program Coordinator enters clinical schedule data and maintains this data on a daily basis. This position assists in the processing of ACGME fellows appointments and credentialing and processes necessary hospital access, badging, pagers and dictation accounts independently.

Under the supervision of the Training Program Administrator, this position is responsible for processing the necessary paperwork for appointments and contracts of ! non-ACGME Senior Fellows and Senior Fellow Trainees in the Division of Gastroenterology, following the Department of Medicine guidelines.

The Program Coordinator is also responsible for the scheduling and communication of rotation materials to Internal Medicine Residents, School of Medicine Elective Clerkship Students, Surgery Residents and visiting students, residents and Fellows as well as communication with their Program Administrators.

This position must be cognizant of the goals and requirements of diverse constituencies including trainees, faculty, School of Medicine, accreditation, and funding agencies.

Duties Include:
Administrative Coordination for the Fellowship Program

This position provides support to the daily operations of Division of Gastroenterology Training Programs by assisting the Training Program Administrator and Program Director. Specific duties include, but are not limited to, the following:

Prog! ram Responsibilities

Maintain all Division records and files r! elated to trainees. Ensure that confidential files are maintained and archived

Coordinates annual program review data and meeting planning

Inputs Fellow training time in GMETaBS for Medicare reporting.

Coordinates and schedules Fellowship meetings

Within MedHub, maintains fellow demographics, schedules, rotation goals and objectives, evaluations, monitor duty hour compliance and ensure timely completion of duty hour reports.

Set up and maintain resident online learning portfolios (Per accreditation guidelines, create and maintain portfolios with relevant data and forms according to the five ACGME competenciesâ€"i.e. rotation evaluations, progress review forms, procedure logs, self assessment plans, CVs, exam scores, etc.)

Coordinate and support annual Fellowship events (locate and reserve appropriate venues and caterers; choose menus; create and distribute invitations; maintain RSVP lists; oversee implementation on day o! f event; solicit donations)

Program Accreditation and Compliance

Develop understanding of ACGME policies and procedures, including familiarity with the Common Program Requirements and Subspecialty requirements unique to both programs

Assist the PA in maintaining the program’s ACGME Accreditation Data System (ADS) learn the requirements of the ACGME Next Accreditation System (NAS)

Resident/Fellow Schedules

Execute the input of annual rotation schedule and weekend/holiday coverage into Excel, the UW SOM AMION software, UWMC Infinity, HMC Infinity and MedHub Schedules for approximately 40 attendings, 15 fellows, and various numbers of surgical residents, medical residents, and medical students for the following facilities: University of Washington Medical Center, Harborview Medical Center, Seattle Cancer Care Alliance, Seattle VA Medical Center, Virginia Mason Medical Center, Pacific Medical Center, and various continuity clinics.! Disseminate schedules to wide variety of internal resources. Process a! ll schedule changes and confirm that all information uploaded is accurate and valid.

Serve as primary contact within the division for all schedule changes.

Serve as primary support and information contact for the Division’s clinical coverage schedules.

Serve as primary contact and coordinator for the On/Call, AMION, Infinity Schedule Systems.

Post/Publish updated schedules to Division’s SharePoint site when changes occur.

On a regular basis, interface with Division faculty and fellows, nursing staff, hospital and administrative staff, and other departmental contacts.

Schedule medical student rotations and process visiting student rotations

The Program Coordinator is also responsible for the scheduling and communication of rotation materials to Internal Medicine Residents, School of Medicine Elective Clerkship Students, Surgery Residents and visiting students, residents and Fellows as well as communication th! eir Program Administrators.

Manage the Division's International Visa and Visiting Scholars Program

Once a year, complete the NSF/NIH Graduate Student Survey

Evaluations

Administer the evaluation process for the program in MedHub, and ensure timely completion by evaluators.

Ensure completion of confidential annual program evaluations by fellows and faculty.

Ensure timely completion of summative evaluations by the PD for graduating fellows.

Schedule semi-annual fellow reviews with PD.

Fellow Appointments and Credentialing

During recruitment, schedule and manage interview days activities.

Manage appointment and onboarding process for incoming fellows in coordination with appointment and credentialing process requirements provided by the GME and DOM Offices.

Ensure fellow compliance with UW GME and DOM credentialing requirements, including medical licenses, DEA licenses, immunizat! ions, HIPAA training, Learning Gateway modules, and web-based training ! as required.

Arrange for pager, UW and ID badges, Husky Cards, keys, lab coats, etc. for incoming residents

Prepare printed materials for Fellowship Orientation.

Assist in the preparation of appropriate letters of recommendation for graduates and completion of verification requests for completion of training.

Manage fellow exit process (deactivating accounts, collecting badges and pagers, etc).

Process and frame graduation certificates, in consultation with the GME Office and coordinate end-of-year fellow graduation gifts

Under the supervision of the Training Program Administrator, this position is responsible for processing the necessary paperwork for appointments and contracts of non-ACGME Senior Fellows and Senior Fellow Trainees in the Division of Gastroenterology, following the Department of Medicine guidelines.

Administrative Coordinaton of Educational Programs

This position has substantial respon! sibility for controlling the daily administrative operations for programs and courses related to the academic training of fellows, residents, medical students, and community physicians. This position works directly to allocate resources and monitor/control educational program results. .This includes coordinating HuBio 551 for medical students and our weekly continuing medical education series, "Frontiers in Gastroenterology and Hepatology" Specific duties include, but are not limited to, the following:

Work directly with HuBio 551 lead professor to maintain and update course syllabus and lesson plans, schedule rooms, coordinate equipment, and execute student assignments.

Work with SOM in online course management and publication of course syllabus.

Provide principal assistance to the Course Chair of our continuing medical education series Frontiers in Gastroenterology and Hepatology; coordinate and manage weekly administrative duties such as coordi! nating speaker schedules and presentation assignments, maintaining and ! publishing program academic schedule on GI Division website monitoring and maintaining regulatory compliance of program with Continuing Medical Education office, reserving/maintaining conference room schedules and weekly catering needs, weekly conferences and serving as on-site continuing medical education coordinator, and related paperwork, including attendance records, course/speaker evaluations and statistics reports.

REQUIREMENTS:
High school graduation or equivalent AND two years of experience in support of academic programs OR equivalent education/experience.

Additional Requirements:

Works well under pressure, ab! le to meet deadlines both planned and unexpected;

Experience in an academic health care setting

Familiarity with ACGME accrediting and regulatory bodies that affect resident and fellow education and training

Experience planning large, complex events;

Condition of Employment:
Appointment to this position is contingent upon obtaining satisfactory results from a criminal background check.

This position requires a modified work schedule on Fridays to attend and coordinate our weekly continuing medical education series, from 7am-3pm. Attendance at several evening division events may be required throughout the year.!
